Steps to archive email in Zimbra for my school account:

  1. If this is the first time doing this, create a folder in your email folder hierarchy by right-clicking on Inbox and choosing "New Folder". Call it "Archive".

  2. Click on the search magnifying glass.

  3. Click the "Date Sent..." button, choose "is before...", and put the last date of emails you want to archive.

  4. If needed, change the folder (use for archiving "Sent" emails)

  5. Click on the box at the top of the search results to select all emails.

  6. Follow the instructions to choose all search results, even those that aren't listed in the search results (click on "select all search results" in the pop-up message if it appears)

  7. Click on the button with the folder-arrow icon, and choose to move all emails to the "Archive" folder you created.

  8. Go to the "Preferences" tab and choose "Import/Export". Leave export "Type" to "Account", and change the export "Source" to the "Archive" folder. Then click on the "Export" button and save to your computer.

  9. Wait until the archive has saved completely to your computer, then open it and check that the emails you need are there.

  10. Back in Zimbra, choose the "Mail" tab.

  11. Right-click on the "Archive" folder and choose "Empty Folder", then confirm.

  12. Check the quota bar in the upper-right-hand corner of the screen to see if it has gone down (to green).


  1. Search for all older emails.

  2. Move to Archive folder.

  3. In preferences, export it all.

  4. Empty the Archive folder (right-click on it)
